For ease we have detailed how we collect and use personal data across the various business sectors of Alderley.
Websites and digital services
The websites and all digital platforms and applications developed and operated by us are for business use only and are not developed nor intended for use by children. Therefore, we do not knowingly collect data relating to children.
We collect your personal information when you:
- seek online help or support;
- create a user account or create a profile;
- access our live chat requesting a demo;
We will collect:
- your name;
- email address;
- information supplied when raising a support/maintenance ticket;
- IP address;
- job title.
How we use your personal data
We will only use your personal data when the law allows us to or with your specific consent. Most commonly, we will use your personal data in the following circumstances:
- to administer and manage our websites, including to authenticate or validate your identity to provide access to any restricted areas of the websites or, where applicable, our digital services platforms;

- with a third-party partner in order to enhance our business offering.
It is important that the personal data we hold about you is accurate and current. Please keep us informed if your personal data changes during your relationship with us and your use of the platforms or our websites.
If you choose not to provide the personal data when requested, we may not be able to perform the contract we have or are trying to enter into with you. In this case, you may not be able to use any or all of the functionality offered on the websites or the platform/application.

Clients, prospective clients and their employees
In order to deliver our consulting and business services, it is necessary for us to collect and process certain personal data of employees, representative or contractors of our client companies. The information that we collect will include:
- Job title.
- Full contact details including email, address and phone number.
In addition to the above, we may collect information about employees of our clients that may include special categories of personal data, but only where such information is relevant and necessary to the services that we provide.
We may process personal data as follows:
- To manage existing client relationships and to promote our business to prospective clients.
- To develop our business and services (such as identifying client needs and improvements in our consulting and services offering).
- To host or facilitating the hosting of events.
- From publicly available sources such as LinkedIn and other professional network and social media sites.
Alderley processes personal data about business contacts from the following sources including:
- Prospective clients and individuals and representatives within them.
- Publicly available sources including LinkedIn.
- Business development databases.
We will collect the following information:
- Job title.
- Area of business interest.
- Business details and contact information.
The personal data will be processed within the marketing database or within the email and calendar of Alderley employees and used for the following purposes:
- business development.
- performing analytics to enhance sales and marketing performance.
- carrying our market research.
Unless we have been asked not to, we may collect, store and use business contact details to provide information to business contacts that we think will be of interest about us and our services. These may include industry articles and invites to webinars and other events.
The nature of our communications will be business to business only. If you do not wish to continue to receive such marketing communications from us, you may unsubscribe.
We use certain third parties to support Alderley in providing marketing services. Where necessary to support the legitimate interests of Alderley, personal data relating to our business contacts will be shared with them.
Suppliers and subcontractors
We collect and process personal data about our suppliers and their subcontractors or individuals associated with them. The personal data will be business contact data including name, employer name, phone, email and other business contact details that are necessary to facilitate a commercial relationship.
The personal data will be used for the following purposes:
- The procurement of goods and services.
- Administering the provision of goods and services.
- The onwards supply of goods and, where applicable, to an end-client.
We will collect information that is specifically provided by you as part of an application process. We will collect the following (but not limited to)
- Name, address, email, telephone number
- CV and other information in support of your application
Details you provide:
- Will be held on our computer systems and may be downloaded by us.
- Will be used to deal with your application.
- Will be made available to us and our processors.
- Will be used for communication with you or an agency regarding the vacancy.
- Will be used to satisfy legal requirements.
- Will be used for statistical analysis.
- Will be held and may be used to contract you about other vacancies.
We collect, process and share personal information to enable us to assess your suitability for employment with us, as well as carry out statistical analysis of recruitment. For the purposes of recruitment this is because the processing is necessary for the performance of a contract or with your consent prior to entering into a contract and to comply with our legal obligations.

Profiling and tracking
Profiling is an automated process that enables us to better understand the areas of our business that may be of interest to you. This is one of the tools that we use to analyse your online activities including your surfing and searching behaviours. We may also analyse your participation in surveys, email preferences and activity on LinkedIn and other relevant social media channels.
You can ask us or third parties (where express consent has been obtained) to stop sending you marketing messages at any time by following the opt-out links on any marketing message sent to you or by contacting us at firstname.lastname@example.org.
Where you opt out of receiving these marketing messages, this will not apply to personal data provided to us as a result of a product/service purchase or any other transactions.
Change of purpose
We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If you wish to get an explanation as to how the processing for the new purpose is compatible with the original purpose, please contact us.
Please note that we may process your personal data without your knowledge or consent, in compliance with the above rules, where this is required or permitted by law.
Disclosure of your personal data
We may share your personal data with other companies within the Alderley Group. We will not sell your data to any third party.
We share your personal data within the Alderley Group. This may involve transferring your data outside the UK, EEA, US, UAE, or Saudi Arabia.
Whenever we transfer your personal data out of the countries or regions noted above, we ensure a similar degree of protection is afforded to it by ensuring at least one of the following safeguards is implemented:
- We will only transfer your personal data to countries that have been deemed to provide an adequate level of protection for personal data by the European Commission and the United Kingdom.
- Where we use certain service providers, we may use specific contracts based on the model contracts for the transfer of personal data to third countries.

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. Your legal rights

No fee usually required
You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.
What we may need from you
We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.
Time limit to respond
We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
You have the right to:
Request access to your personal data. This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it. Please contact us at the email@example.com or at the address below.
Request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate data we hold about you corrected, though we may need to verify the accuracy of the new data you provide to us.
Request erasure of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have successfully exercised your right to object to processing (see below), where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law. Note, however, that we may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request.
Object to processing of your personal data where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground as you feel it impacts on your fundamental rights and freedoms. You also have the right to object where we are processing your personal data for direct marketing purposes. In some cases, we may demonstrate that we have compelling legitimate grounds to process your information which override your rights and freedoms.
Request restriction of processing of your personal data. This enables you to ask us to suspend the processing of your personal data in the following scenarios: (a) if you want us to establish the data’s accuracy; (b) where our use of the data is unlawful but you do not want us to erase it; (c) where you need us to hold the data even if we no longer require it as you need it to establish, exercise or defend legal claims; or (d) you have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it.
Request the transfer of your personal data to you or to a third party. We will provide to you, or a third party you have chosen, your personal data in a structured, commonly used, machine-readable format. Note that this right only applies to automated information which you initially provided consent for us to use or where we used the information to perform a contract with you.
Withdraw consent at any time where we are relying on consent to process your personal data. However, this will not affect the lawfulness of any processing carried out before you withdraw your consent. If you withdraw your consent, we may not be able to provide certain products or services to you. We will advise you if this is the case at the time you withdraw your consent.
